Purpose of the Position:

The Coordinator is an important position in programs or projects. She/he implements the project / intervention on ground according to set objectives and strategies. He/she ensures the transparency quality services and equitable distribution of project stuff among the beneficiaries. He/she ensures that all key stakeholder and quarter concerns are taken into account for smooth implementation of project and achieving the desire results.  He/she also ensures up to the mark reporting, documentation and financial and human resource management for optimal use of resources.  He/she plays up front for enhancing the capacity of team and ensuring excellent team building among the members of team. 

Main Responsibilities of the Position:

  1. Drafting/Developing the project/intervention annual work plan and assisting Manager in developing the final Annual Work plan and ensuring the execution of project/ Intervention annual work plan.
  2. Ensure up to the mark maintenance of Dashboard, implementation of effective & efficient field management / report system for regular improvement of project intervention.
  3. Ensure effective monitoring , on spot training of the field staff on identified methodological issues ,generating concrete actions for identified gaps and ensuring compliances of actions points generated based on monitoring visit and endorsing corrective measures of programs intervention on regularly basis
  4. Provide direction and support to project team to adhere all quality standards & regular technical support and on Job capacity building of the project team.
  5. Conducting field staff weekly reviews in the field & monitoring they are conducting their daily reviews in the field and upload minutes on dashboard.
  6. Assisting Manager in developing presentation of MMPR,MTR,APAR & actively participating  in these reviews & defending the project activities & outcomes
  7. Monitoring of the project intervention to ensure the required qualitative & quantitative targets are in line with the organizational & contractual deadline, obligations and ensuring 100% burn rate
  8. To prepare & submit probation report & performance appraisal (bi-annual & Annual) of their team.
  9. To assists Manager/HR in assessing the Training need assessment (TNA) & Internal Training Assessment (ITA), Succession plans of project teams.
  10. Making presentation of the project under Induction Plan presentation and demonstrate & monitor teams are internalizing essential reading (Program P&P, ToR, Project documents, Annual Plans, APR/MTR/MR decisions and external/Internal Audit observations) through regular supervise reading exercises.
  11. To develop publication, newsletter, project highlights, promotional material/Items and its regular display on “Organization’s Informational & Promotional Board (SIPB)” & ensuring Organization visibility on all project intervention included items.
  12.  Media management for up to the mark media coverage of project activities through press releases, supplements & editorials (Social media, electronic media & print media).
  13. Coordination, Rapport building & linkages building with Donor, Line departments, community & other stakeholder.
  14. Participating in Quarterly/Annual Performance Review (QPR and APR) of the target groups/organizations conducted by field teams and provides conceptual clarity to teams & target group organizations.
  15. Representing Organization at different forum and presenting his/her project in PICS, to visitors, in the reviews, in the events etc.
  16. Work in collaboration with PDRM to strengthen his/her initiated proposal and with MER for developing of tools for qualitative and/or  quantitative assessment & research studies
  17. Ensuring his/her project Social mapping, Baseline/KAP Survey, stakeholder analysis, Log frame of the project,  maintenance of separate files of each village/VO/CO/LSO/component, documentation of all project intervention, Midterm/final Evaluations, project closing/completion report and final/third party evaluation or completed in line with the program P&P deadlines.
  18. To ensure multitasking & playing proactive role in different organizational & institutional assignment emerging in the result of organizational growth.
  19. Enrolling/Registering the trainees/learners with Trade Testing Board (TTB), settling down the modalities, time frame, monitoring & tracking mechnisiam with TTB and facilitating the TTB team/teachers for taking the exam of the learners/trainees
  20. Participating in review meetings conducted by Teacher/facilitator/SO with respective authorities to ensure quality presentations are presented and up to the mark decision are taken and standardized action plan is generated and agreed
  21. Ensure the account of entrepreneurship efforts/selling/marketing of products/Training & Consultancy his/her maintained, amount in it is only re-investing for the same purpose and progress of the account is being shared and tracked
  22. Conducting review meetings with respective authorities for updating them on progress, highlighting the gaps & issues, taking mutual decision and developing the action plan for addressing the gaps & issues
  23. To perform and play proactive role in the Institutional Committees (ICs). In case of any emergency, Organization may also give any additional tasks/assignment.
  24. As & when need arises additional/supplementary task (s)/assignment (s) may also be performed by the Project Coordinator in line with Organization’s general Policy.

Job Specification:

Qualification & Experience:

  • Minimum Masters’ degree in social or natural science discipline addition qualification would be given preference.
  • Minimum 3 year’s professional experience specially served on Management position preferably in development sector.

Knowledge:

  • Knowledge & understanding of participatory approaches (PRA, PRRA, Participatory monitoring) & result based management.
  • Understanding of local community and related cultural sensitivities
  • Ability to influence and engage with a wide range of stakeholder group
  • Knowledge & understanding of Social sector approaches, interventions & community based practices.
  • Knowledge & understanding of Budget planning & execution and monitoring of burn rate
  • Knowledge and understanding of related intervention, practices, policies, laws, approaches.
  • Knowledge & understanding of Project execution at field level

Skills & Abilities:

  • Excellent Communication skills that is, but not limited to, following:
    • Report Writing
    • Presentation (Presentation preparation, excellent delivery, up to the mark highlights & newsletter of his/her area of work)
    • Supplementary concept notes and proposals to further enhance/make sustainable his/her area of work
    • Identifying and initiating assessments, survey & research studies in his/her area of work for strengthing his/her work & ensuring the findings/result of his/her are of work are scientific & research based instead of merely claims.
  • Excellent Human Resource Management skills
  • Analytical skills & ability to link micro issues with the macro problems/sinario
  • Excellent computer knowledge specially on MS Office
  • Ability of multitasking, initiatives & handing pressure.
