Advanced Engineering Associates International, Inc., dedicated to international development, is recruiting for a Pakistan-based professional for the position below to support a multi-year (2017-2021) USAID-funded sustainable energy project in Pakistan.

POSITION DESCRIPTION:

The Finance and Administrative Specialist will be responsible for processing financial transactions and handling administrative matters, including data entry, payments & banking, using the accounting package and assisting the line Manager in all areas of financial accounting and financial controls. Administrative responsibilities include but not limited to general office management, logistical and travel arrangements.

The position will be based in Islamabad, Pakistan.

 MAIN RESPONSIBILITIES AND TASKS:

  • Assisting in the closing of monthly accounts and preparing financial statements for submission to the Home Office
  • Maintaining disbursement vouchers and scanning
  • Preparing and tracking of Exemption Request Packages. Maintaining a withholding tax database for vendors. Ensure timely submission of withholding Tax, monthly and annual statements
  • Maintaining data entry in QuickBooks and generate financial reports
  • Maintaining petty cash system
  • Maintaining filing systems for financial documents
  • To issue Tax certificates to suppliers/consultants/staff as per statutory requirements
  • Reviewing various accounting transactions, e. g., payroll, final payments, travel claims, etc., to ensure correctness of disbursements and adherence to relevant rules and regulations and policies and procedures
  • Assisting in the processing of payments to Vendors/Subcontractors
  • Reconciling cash and bank statements in foreign and local currencies
  • Ensure all invoices and expenses are authorized and coded correctly, including staff expenses
  • Performing Inventory and Property inspection annually;
  • Providing logistical support including local travel and office administration, as needed;
  • Supporting in minor procurement activities for office supplies, and management of project assets;
  • Maintaining office supplies, and keeping record of complete office inventory
  • Supervising the support staff for performing day-to-day work, and also ensuring general maintenance of the office
  • Support in managing the project audits
  • Performing other duties requested by the Line Manager

 

QUALIFICATIONS: (MINIMUM REQUIREMENTS)

EDUCATION:                       ACCA Fundamental Level Qualified / CA finalist

WORK EXPERIENCE: 

Minimum of 5 years’ experience in an equivalent position. Experience with accounting software is preferred. Experience working in a similar position for an NGO or an international organization is preferred. Must have the ability to work effectively in a fast-paced, stressful environment. In addition, must be flexible, willing to perform other duties.

SKILLS: 

Working knowledge of English, both written and spoken. Able to communicate fluently and effectively both verbally and in writing. Excellent interpersonal skills, including patience, diplomacy, willingness to listen and respect for colleagues. Must be capable to work individually and as part of a team. Must also be able to create a supportive working relationship among all project teams. Computer literate, including word-processing, database and/or use of spreadsheet formulas and basic functions.

LANGUAGES:                     Excellent Language proficiency in spoken and written Urdu, English.

GENERAL:                           Tactfulness, enthusiasm for the job, integrity and ability to work under pressure.
