ORGANIZATIONAL CONTEXT

The Pakistan Centre for Philanthropy (PCP) is a nonprofit public service organization with a mandate to promote the volume and effectiveness of philanthropy for development in Pakistan.

REPORTING RESPONSIBILITIES

The Receptionist will directly report to the Manager HR & Admin PCP.

JOB PREVIEW

The receptionist provides assistance to Manager HR & Admin in all secretarial and administrative issues.

JOB DESCRIPTION (TOR’S)

  1. Greet and welcome guests as soon as they arrive at the office
  2. Direct visitors to the appropriate person and office
  3. Answer, screen and forward incoming phone calls.
  4. Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  5. Provide basic and accurate information in-person and via phone/email
  6. Receive, sort and distribute daily mail/deliveries
  7. Order front office supplies and keep inventory of stock
  8. Update calendars and schedule meetings
  9. Perform other clerical receptionist duties such as filing and photocopying.
  10. Assist with and make travel arrangements for PCP staff.
  11. Assist Senior HR & Admin officer with HR and Admin function as and when required.

REQUIRED COMPETENCIES

  1. Proven work experience as a Receptionist, Front Office Representative or similar role
  2. Proficiency in Microsoft Office Suite
  3. Hands-on experience with office equipment (e.g. Photocopy Machine and printers)
  4. Professional attitude and appearance
  5. Solid written and verbal communication skills
  6. Ability to be resourceful and proactive when issues arise
  7. Excellent organizational skills
  8. Multitasking and time-management skills, with the ability to prioritize tasks
  9. Customer service attitude

MINIMUM EDUCATION&EXPERIENCE

  1. FA / BA / from any HEC recognized reputed University of Pakistan.
