Job Profile 

We are looking for a Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks.

Key responsibilities (includes but not limited to):

Answer and screen any incoming phone calls while providing basic information when needed. Re-direct calls as appropriate and take adequate messages when required

Receive and sort daily mail/deliveries/couriers

Greet persons entering organization and direct them to correct destination

Update appointment calendars and schedule meetings/appointments

Perform other clerical receptionist duties such as filing, photocopying, collating, faxing etc.

Maintain the general filing system and file all correspondence

Assist the management and other staff as requested

Provide administrative services for the admin

Provide information to caller

Deal with queries from the public and customers

Ensure knowledge of staff movements in and out of organization

Monitor visitor access and maintain security awareness

Provide general administrative and clerical support

Receive and sort mail and deliveries

Maintain appointment diary either manually or electronically

Monitor and maintain office equipment

Control inventory relevant to reception area

Tidy and maintain the reception area

Requirements:

Minimum bachelor degree in any discipline

Experience: Fresh graduate with strong communication and interpersonal skills.

Familiarity with office machines (e.g. fax, printer etc.)

Knowledge of office management and basic bookkeeping

Proficient in English (oral and written)

Excellent knowledge of MS Office (especially Excel and Word)

Good organizational and multi-tasking abilities

Professional personal presentation    

Customer service orientation   

Attention to detail

Pleasant personality
