Assignment:

The Program/CMU Assistant position performance will be supervised by Consortium Coordinator Alliance 2015, in technical and managerial spheres of responsibilities.

Functional Links:

Functionally will report Directly to Consortium Coordinator , and indirectly to the HoP  (Head of Program) ACTED

Responsibilities

  • Assist the Consortium Coordinator in documentation and knowledge management of the Alliance project (ECHO 7)
  • Assist the Coordinator to collect, collate and share the data on the project  for program excellence and development
  • Record, draft and share minutes of meetings
  • Assist the CC in experience sharing and lessons learned sessions/workshops on monthly,  need basis and recording the outcomes for further  sharing
  • Arranging coordination meetings for CC  with consortium members and external stakeholders
  • Facilitate the CC in sourcing out of project activities to external stakeholder and developing resource person(s) ToRs where needed
  • Assist the CC in preparing  draft MoU /ToPs with different stakeholders  of the project
  • Assist the CC in collection of secondary data for the current Alliance project as well as data on food security and nutrition related programing
  • Facilitate Consortium Coordinator in conducting brainstorming sessions for new proposals , recording the session’s outcomes for sharing with CC  and program development department.
  • Support the CC and  the field teams to identify , compile/ develop and sharing of case studies/success story  of the Alliance and other, WASH,  food security and nutrition projects
  • Compile brief weekly ,  narrative monthly  reports and one pager  report for the review , finalization by CC  and sharing with  stakeholders regarding project progress and process
  • Communication and collaboration with ACTED database for project data management and retrieval for reports
  • Assist the CC in developing tools and formats for quick surveys (beneficiaries feedback survey, post distribution surveys) and output/outcome monitoring
  • Participate in relevant cluster meetings in case of CC non availability
  • Assist the CC in donor mission especially meetings with women beneficiaries
  • Other responsibilities assigned by program team

Person Specifications

1.      Education qualification

·         At least a Bachelor’s degree in social sciences 

2.      Experience

·         A minimum of 1 years’ relevant experience in a similar position preferably with an NGO

3. Skills and knowledge

  • Excellent computer skills (Windows, Word, Excel, e-mail);
  • Good level of verbal and written communication in English;
  • High level of organisation and good visual presentation skills;
  • Aware about documentation, filing and minutes taking
