Summary:
Under the direct supervision of Manager Operations / HR, the incumbent will be responsible for the providing administrative support for the Project office Peshawar.

Essential Job Functions:

  • Support program needs by performing administrative duties for the Program, including creating and maintaining all paper and electronic files and records;
  • Greet all visitors, politely field phone calls and email inquiries;
  • Extend assistance to other staff members to finalize periodic reports;
  • Draft or prepare correspondence to respond to inquiries regarding relevant administrative activities;
  • Assist COP in day to day official meetings / task scheduling.  
  • Brief/debrief staff team members on issues relating to a variety of administrative areas,
  • Track staff movement from Peshawar to other regions and coordinate logistical and transportation needs of visiting staff;
  • Assist employees with routine personnel related questions and issues;
  • Follow up on Admin & HR related issues such as short-listing, interviewing, reference checks, offer letters, contracts, exit check list, leave records, etc.;
  • Track and record all expenses for the PMU office;
  • Properly solicit and document all procurements for the PMU office, maintain necessary records;
  • Perform other job related tasks as assigned by the DFA / Manager Operations/ HR designee.

Required Skills & Experience:

  • Bachelors degree;
  • Good Communication in written and spoken Pushto, Urdu and English ;
  • Have good knowledge of MS Office Suite
  • 2-3 years’ experience providing administrative and HR support to an international donor funded program. Preference will be given to candidates working on USAID Projects.
  • Excellent interpersonal skills and have ability to work in a team-oriented environment.
  • Attention to detail.
  • Self-motivated and able to work with limited supervision
  • Good computers skills, particularly with Word and Excel spreadsheets.
  • Ability to work well with others, individually and in groups.
  • Ability to maintain confidentiality.
