Job Summary:

  • Professionally and politely greet and expeditiously assist all visitors to the UAP office to which the employee is assigned;
  • Professionally and politely greet and expeditiously assist all individuals calling the UAP office to which the employee is assigned;
  • Maintain record of incoming/outgoing mail and supervising the courier services, and distribute mail received.
  • Issue stationary items to staff, maintain its tracker for self record of stationary items ordered to selected vendor, received items and issued items to staff members.
  • Booking of conference hall for staff meetings and conferencing.
  • Set newspapers in order for reading purpose and store those newspapers in evening.
  • Schedule meetings and facilitate interactions between project colleagues, offices and components, and the public;
  • Note minutes in the meetings as and when needed.
  • Provide secretarial, word-processing, spread sheeting, faxing; filing and other administrative and ICT services to prepare communications, reports, charts, tables, and other documents in English and Urdu;
  • Ensure project policy-compliant hard copy and electronic filings in Central Files of relevant documentation;
  • Serve from time to time as a facilitator for Component events;
  • Assist Admin / Logistics team as may be required from time to time to ensure optimal project performance;
  • Perform all other relevant duties that may be assigned by the supervisor / Chief of Party or his designee.

Qualifications / Experience

  • Bachelor’s degree Master’s degree.
  • Minimum experience of 3 years is required out of which 1 year should be in a similar role. Experience of working with International NGOs, donor agencies.
  • Computer literacy with demonstrated use of word processing, database and presentation software (Word, Excel, Power Point etc).
