Enterprise for Business & Development Management (EBDM: www.ebdm.biz) is a management consulting and research firm extending advisory and implementation services to a broad range of clients in the non-profit, private and public sectors. EBDM specialises in monitoring & evaluation, research, project management, organisational development, strategic management and technology solutions. EBDM also manages its own business initiatives.
The Firm is a small but rapidly growing organisation and requires a dynamic individual to become a full- time/permanent member of the Firm. The candidate will be required to contribute significantly to the financial management of the firm and therefore must have effective leadership qualities which will prepare him/her for future senior management positions. The candidate should therefore be prepared and willing to invest at least the next three years of his/her career in the Firm.
GENERAL SCOPE OF WORK
The main areas of operation include, budgeting, auditing, legal affairs, policies and procedures implementation, business planning, financial modelling and forecasting, financial and policy related reporting and management of all tax related matters of the firm. It is expected that the Finance and Management Expert will ensure that such working environment, policies and procedures are put in place that the consulting and services staff are enabled to work effectively, efficiently, comfortably and with minimal problems. Furthermore it is expected that the expert will provide key inputs on financial matters during various consultancy assignments of the firm. As such, this position is of great responsibility and requires high levels of diligence, professionalism and ethics. The position is intended to be independent of the Firm’s accounts & administration function and the individual will be reporting directly to the Managing Director.
FUNCTIONAL RESPONSIBILITIES
- Develop, review, update and implement effective financial policies and procedures for EBDM that comply with Generally Accepted Accounting Principles (GAAP), and all relevant Pakistani and International laws and regulations;
- Develop, coordinate and implement plans for the control, monitoring and reporting of all financial operations;
- Perform regular internal finance, accounting and systems audits of EBDM’s activities, including monthly reviews of financial transactions to check for appropriate documentation, correct account assignment and approvals;
- Verify and validate day-to-day accounting and procurement activities of the Firm;
- Manage all external audits, prepare appropriate documentation, respond to requests for clarification and take corrective action;
- Ensure that all financial information and accounting procedures effectively and efficiently respond to the reporting expectations of the Firm’s management;
- Undertake regular analysis of accounts and finance data and proactively prepare reports enabling the Managing Director in day-to-day decision making;
- Consolidate monthly financial reports to provide timely reports on fiscal health, including revenue/expenditure reports, expense reports by grant, budget variance reports, among others;
- Lead the preparation of both internal and consultancy assignment budgets.
- Prepare financial models and forecasts as and when required;
- Advise senior management regarding the approval of large expenditures;
- Advise the firm’s management during business and strategic planning meetings.
- Prepare business plans and project proposals in close coordination with other units;
- Manage the Firm’s investment activities, identify investment opportunities and prepare business plans aimed at increasing the Firm’s working capital and reserves;
- Advise the Managing Director on aspects like stock options, company share distribution etc.;
- Advise the Firm’s management on optimizing the firm’s structure and governance;
- Manage the Firm’s legal affairs in general. Ensure registration matters comply with national laws and manage legal affairs of new ventures of the firm;
- Develop the organisation’s contracting procedures and prepare important contracts and agreements. Monitor the execution of important agreements from a financial and legal stand-point;
- Establish positive professional relationships with EBDM’s banking and insurance institutions, and work to obtain the best prices for quality services;
- Advise and monitor the Accounts and Administration Unit to ensure maintenance of accounting standards, transparent procedures, and donor/financier compliance;
- Actively manage all tax related matters of the Firm including income tax, property tax, wealth tax, withholding tax etc.;
- Provide capacity building support to accounting staff and management on all financial matters;
- Conduct periodic assessments and forecasts of organization's financial performance against budget, financial and operational goals. Undertake short and long-term financial and managerial reporting;
- Develop long-term forecasts, models and maintain long-term financial plans;
- Prepare the Firm’s annual financial report;
- Advice on all of the above to the Firm’s clients as and when required;
- Prepare and deliver presentations at a senior management level, and;
- Any other task assigned by the Managing Director in relation to this function.
REQUIRED QUALIFICATIONS
- Fully qualified Chartered Accountant with at least 5 years of post-qualification professional experience or Master’s degree in finance from a recognised university with at least 8 years of post-qualification professional experience (additional accountancy qualification an advantage);
- Hands-on extensive financial management experience at a senior level in Private Limited Companies, AOPs/Partnership Firms and Non-profit organisations is a must;
- Candidates who have prior experience of working with international bi-lateral or multi-lateral development agencies, international NGOs and multi-national companies in a relevant position will be given preference;
- Excellent communication and English writing skills; Qualified candidates who can provide proof of an IELTS score of 7.5 or above will be given preference;
- High level of proficiency in MS Office required;
- Detailed working knowledge and experience in accounting and financial management software especially QuickBooks is a requirement;
- The candidate must be an independent worker who can carry out required tasks and responsibilities diligently, with minimum guidelines and instructions from senior management;
- Ability to multitask and manage competing priorities;
- Ability to cope with challenging work routines; delivering under tight deadlines and multi-tasking;
- Demonstrated leadership and vision in managing staff groups and major projects or initiatives;
- Excellent interpersonal skills and a collaborative management style, and;
- A demonstrated commitment to high professional ethical standards.
