Mission 1 : Project Planning, Implementation and Staff Supervision
The Senior Project Officer will :
- Be responsible for managing the full scope of project from initiation to completion, including project planning, staff supervision, coordination, financial oversight, and reporting.
- Lead and manage all aspects of the assigned project, ensuring activities are implemented according to the project plan, timeline, and objectives, and will serve as a key focal point for the project at organization level.
- Develop and regularly update detailed project work plans, setting clear deliverables and milestones for each phase of the project.
- Ensure that the project is delivered on time, within scope, and on budget, addressing challenges proactively.
- Oversee and manage a team of project staff, assigning tasks and responsibilities, monitoring progress, and ensuring adherence to quality standards.
- Provide leadership, coaching, and training to project staff, fostering a collaborative, efficient, and positive work environment.
- Conduct performance evaluations for staff, offering constructive feedback to support individual and team growth.
- Ensure that all practices of the organization in the field strictly comply with HI’s policy of PSEAH (Protection of beneficiaries from Sexual Exploitation, Abuse and Harassment).
Mission 2 : Financial Management:
- Manage and monitor the project budget, ensuring effective allocation of resources and that expenditures remain within approved limits.
- Track project costs, prepare financial reports, and ensure compliance with organizational and donor financial guidelines.
- Identify any financial risks or discrepancies and take corrective actions to ensure budget integrity.
Mission 3 : Coordination and Stakeholder Engagement
- Serve as the main point of contact for all project-related communications with internal teams, external partners, donors, and stakeholders.
- Coordinate effectively with other departments, external organizations, and community stakeholders to ensure smooth project implementation and sustainability.
- Organize meetings, briefings, and discussions with stakeholders to provide project updates, resolve issues, and discuss next steps.
Mission 4 : Monitoring, Evaluation and Risk Management:
- Monitor project progress, ensuring all activities are completed as per plan and standards.
- Conduct regular assessments to evaluate project outcomes and impact, ensuring alignment with objectives and expectations.
- Prepare and submit regular progress reports to the Area Manager and other stakeholders, highlighting achievements, challenges, and proposed solutions.
- Ensure that the project meets required quality standards and complies with both organizational policies and donor expectations.
- Continuously monitor and evaluate the quality of deliverables and project outcomes to ensure they meet agreed-upon standards.
- Identify potential risks to the project’s success and develop risk mitigation strategies.
- Troubleshoot and resolve project-related challenges as they arise, working closely with the Area Manager to ensure the project stays on track.
Mission 5 : Reporting and Documentation:
- Maintain accurate and up-to-date project documentation, including contracts, progress reports, and financial records.
- Prepare donor reports and project briefs in line with reporting requirements, ensuring that all documentation is clear, comprehensive, and timely.
- Ensure that all project documentation is organized and accessible for audits or reviews.
- Assist the Area Manager in broader strategic planning, resource allocation, and reporting for the province.
- Attend meetings, workshops, and training sessions as necessary to enhance skills and knowledge related to project management.
- Perform any other duties as required by the Area Manager.
