CHILD SAFEGUARDING: 

The post holder will have contact with children and/or young people either frequently (e.g. once a week or more) or intensively (e.g. four days in one month or more or overnight) because they work country programs; or are visiting country programs; or because they are responsible for implementing the police checking/vetting process staff.

ROLE PURPOSE:

The position holder will be responsible for maintaining HR records and delivering administrative and operational support to the HR Department.

Reports to: Coordinator HR, Safeguarding & Gender

Role Dimensions: Support HR operations

KEY AREAS OF ACCOUNTABILITY :

Recruitment/New Hire Process

  • Participating in recruitment efforts
  • Posting job ads and organizing resumes and job applications
  • Scheduling job interviews and assisting in interview process
  • Ensuring background and reference checks are completed
  • Preparing new employee files and keep updating all employees files
  • Orienting new employees setting up workstation, email address, etc.)
  • Serving as a point person for all new employee questions
  • Participating in benefits tasks, such as health claim resolutions, reconciling and approving invoices for payment

HR Operational Support:

  • Preparing new employee files and keep updating all employees’ files.
  • New employee induction
  • Orienting new employees setting up workstation, email address, etc.
  • Assist during the induction of new employee following the HR operational manual and ensuring all essential steps have been complied.
  • Supporting team in induction process for new starters
  • Be accessible and respond to staff/manager enquiries in a timely manner
  • Be a focal point for internal and external coordination related to HR operations.

Record Maintenance

  • Maintaining current HR files and databases
  • Performing file audits to ensure that all required employee documentation is collected and maintained
  • Updating personnel files & Maintain the data archiving.
  • Coordinating prospective candidates, calling them for interviews
  • Develop standard induction packs (and checklists) containing key documents for all new staff maintain a Live tracker.
  • Update health claim tracker.
  • Update monthly effort reporting.
  • Any other duty assigned by the supervisor.

QUALIFICATIONS 

Degree in Human Resource Management.

EXPERIENCE AND SKILLS

Essential: 2 to 3 years relevant experience preferabley in development sector
