Purpose of Job:                 

To be responsible to Assist Senior HR/Admin Officer for HR management and office administration Islamabad office and roll out in field office under the supervision of Operations Coordinator.

Job Activities:

  • Facilitate Senior HR/Admin Officer in the recruitment and Orientation of new staff.
  • Ensure the accurate filing related to HR and Admin of Organization Pakistan programme.
  • Incoming and outgoing correspondence record and general documents files in accordance with Organization filing guidelines.
  • Ensure the timely and accurate flow of information for the Islamabad office including incoming and outgoing emails, faxes, and visitors.
  • Maintain up to date information on the status/whereabouts of employees
  • Ensure the accurate filing and maintenance of all Islamabad office based incoming and outgoing faxes and general correspondence
  • Work as petty cash custodian and manage petty cash payments as per organization Policy and Procedure.
  • Supervise Kitchen and cleaning staff for Islamabad office.
  • Take care of staff locators and stay arrangements.
  • Assist Senior HR/Admin Officer in payroll preparation.
  • Ensure Staff personal files are maintained properly and regularly updated.
  • Ensure Time sheets are verified against leave records and reported to finance for any changes.
  • Maintain Leave record of Islamabad Staff
  • Ensure that all the leaves are properly recorded and are in accordance to the time sheets submitted.
  • Ensure that staff Medical claims are reviewed and forwarded to medical insurance company in time.
  • Participate in the recruitment of new staff for emergency.
  • Ensure initial short listing of CVs.
  • Prepare and coordinate test and interview schedules and inform potential candidates.
  • Ensure that personnel files for all staff are actively maintained, up-to-date, and in accordance with organizational personnel policies.

Job Specifications 

•          Have Master’s Degree preferably with specialization in HR

•          Minimum 1-2 years’ experience in relevant field.

•          Fluent in writing and speaking English and Urdu

•          Proficiency in using Internet, Microsoft Word, Excel & Outlook.

•          Ability to work in team

•          Ability to use own initiative

•          Strong organizational, administrative & work prioritization skills

•          Ability to remain calm and to be diplomatic

•          Team working, flexibility and relationship building skills

•          Problem solving skills in day-to-day and crises situations

•          Show complete discretion in all matters concerning Islamabad staff.
