Specific Responsibilities:
Planning, Implementation and Reporting:
- Preparing presentations & doing groundwork for staff meetings and donor visits.
- Writing/editing/proof reading reports/proposals upon request.
- Incorporating feedback in reports/proposals.
- Review & finalize MOUs.
- Assist in preparing internal/external TORs for trainings, facilitators, and internal committees.
- Assist in ground work of national/regional workshops upon request.
- Coordination and communication with other programs and departments within organization whenever required.
- Assist the Associate Director (AD) in preparing budgets & financial management of projects.
- Correspondence with partners/donors/staff on behalf of the AD.
Strengthening Systems and Procedures:
- Assist in ground work for external reviews/evaluations of projects.
- Ensure necessary systems/policies are in place to run the program.
- Do project reviews and monitoring if requested.
Expansion, networking and visibility:
- Develop communications promotional materials when requested.
- Support in gathering informational material upon request.
- Exploring funding opportunities and developing proposals when requested.
- Assist in ensuring visibility of DCEP portfolio initiatives at sub-regional and regional level.
- Coordination and communication with consultant’s/resource persons.
Administrative tasks:
- Assist in handover of work during staff exit in absence of supervisor.
- Assist in conducting initial interviews with HR to hire program staff.
- Assist in developing interview exercises.
- Maintain Filing.
- Take minutes of meetings.
Job specifications:
Qualification/Experience:
- For the position of Program Assistant, a Graduate / Masters Degree from recognized university and at least 3 years’ regional/international experience is considered necessary.
Skills/Competencies:
- Should have excellent communication skills including good English writing skills.
- Be organized and meet timelines.
- Ability to take initiatives, ability to prioritize and remain organized.
- Good computer skills are necessary.
- Good English & Urdu is essential.
