I. Organizational Context and Scope

Under the overall supervision of the Program Manager and the direct supervision of the Information Management Officer, the Information Management Assistant will be responsible for supporting the PTI grants information system to analyze the program information management requirements and under the direction of the Information Management Officer, design, maintain and improve an information management system to gather information and deliver reports as required by the program teams. In particular the incumbent will:

II. Responsibilities and Accountabilities

  1. To support Information Management Officer in rolling out IM / MIS Model and manage standard practices, including developing database/matrix’s, collating, compiling, analyzing data and subsequent reporting on program development, monitoring, progress & performance;
  2. To support develop, troubleshoot, backup & maintain an integrated grant management tracking tools and solutions using Google apps to meet PTI management requirements for promoting data-driven decision making with analytical reporting ability from the system as required;
  1. To support development of simple, user-friendly templates, matrix’s / formats and analytical dashboards to provide decision support system for senior management as per relevant indicators;
  1. To assist to ensure consistency of layout and design in web based forms and database to facilitate efficient data entry across PTI departments;
  1. To assist in administration the Electronic Document Management System and ensure that it is structured to meet the requirement and obligations for record keeping;
  1. Conduct field visits to monitor quality of data maintained by team and provide on the field assistance to program staff as and when needed;
  1. To assist in organize learning events and trainings / workshops for IM/MIS and all program units to document lessons learnt, best practices and areas of improvement;
  1. To assist in train staff in the use of the IMS and develop manuals/instruction sheets that are up to date, accurate and user friendly;
  1. Any other duties as assigned;

IV. Education and Experience

  1. Completed minimum Bachelor’s degree from an accredited academic institution, preferably in Information Management, Information Technology or Computer Sciences.
  2. Minimum of 2 - 4 years’ experience for candidates holding a first level university degree preferably in an international, non-profit environment;
  3. Experience in one of the organizations of the UN Common System and field experience are a distinct advantage;
  4. Experience working with Statistics, Research and Database activities is an added advantage;
  5. Experience in travelling and working in remote areas;
