Position:              Operations Officer

Reports to:          Program Manager

Location:             Peshawar.

  • Directly responsible for providing operational support during preparation, planning and implementation of project activities in line with Organization procedures. This includes functions related to procurement, contracts, staffing and recruitment, travel (planning and reporting).
  • Initiate and follow-up a broad variety of administrative and operational actions necessary for the timely implementation of projects, including recruitment actions, travel requests, letters of introduction/instructions, briefing schedules and procurement of equipment;
  • Assist in the preparation and updating of detailed procurement plans, preparation of tenders, drafting and review of letters of agreements and contracts to ensure the successful and timely implementation of projects;
  • Provide guidance and advice to project staff in the areas of operations and administrative matters; arrange meetings on day-to-day project matters;
  • Maintain a register of where all assets procured by the projects are and ensure proper hand over of assets and recording into the Organization assets register.
  • Brief staff and ensuring adherence to procedures, guidelines and work requirements;
  • Improve processes and policies in support of organizational goals. Formulate and implement departmental and organizational policies and procedures to maximize output. Monitor adherence to rules, regulations and procedures.
  • Working with the Program Team to plan the use of human resources. Assist in recruitment and placement of required staff; establishment of organizational structure; delegation of tasks and accountabilities. Supervise staff. Monitor and evaluate performance.
  • Manage and improve the efficiency of support services such as IT, HR, Admin, Logistics and Security.
  • Facilitate coordination and communication between Stakeholders.
  • Participation and representation of organization in different cluster meeting.
  • Works closely with field offices to improve and streamline operational systems, processes, and policies.
  • Provides training and orientation to new and field-based staff.
  • Works closely with management to improved security policies in order to implement better contingency plans and incident responses.
  • Other duties as assigned

Skills and Qualifications:

  • Master’s degree in Business / Public Administration / Logistics / Supply Chain.
  • 8 to 10 years’ relevant work experience in project management/operations and support.
  • Demonstrated operational management expertise
  • Excellent communication and interpersonal skills required with a high degree of staff service orientation
  • Strong problem-solving skills including ability to prioritize and multi-task
  • Ability to work effectively across borders and cultures
  • Strong MSWord, Excel and PowerPoint skills
