Position Title:              Admin & Finance Officer - BISP

Job Location:               Faisalabad

Position Report to:       Deputy Manager Finance - Projects

Salary Range:              Scale 5, Life Insurance & EOBI

 

Profile Summary

The position aims to ensure that all Finance and Admin related activities at the Zonal Office are completed accurately and in a timely manner as per the Sungi Policies. Finance and Admin Officer acts as a representative of Head Office Finance and Admin functions and assists the Zonal Office project team in achieving their objectives.

 

Tasks & Deliverables

  • Handling all accounting and financial record for the location and assigned projects.
  • Book-keeping and safe keeping of financial records and files.
  • Processing the payments in a timely manner in compliance with the requirements of Sungi Policies and Donor guidelines
  • Ensure completion of supporting documentation of all vouchers
  • Ensure the completeness and accuracy of vouchers and supporting documents
  • Preparing a summary of all Zonal payments and preparing vouchers.
  • Maintaining a detailed record for staff Operational advances.
  • Maintaining budget of location on monthly basis and preparing total spending of Programs & operations at location and coordinating with relevant managers for over or Under spending and finally reporting to finance manager and donors.
  • Extend support during the internal and external audits of the organization and projects
  • Maintaining an updated record of staff advances

Administration Tasks

  • Looking after all Administration and Operations related tasks of the location office
  • Ensure proper maintenance and safety of assets of the location office
  • Safe custody of vehicles assigned at the location. Ensure maintenance of log book as per Sungi Policy
  • Logistics arrangements at the location for local staff and their movement in the area
  • Initiate and complete the procurement process as and when required as per Sungi Policy
  • Inventory management at location for fixed and re-usable assets
  • Coordination with Area Coordinators at the location and Admin Manager/Deputy Manager at Head Office
  • Looking after the Security of the Office and Coordination with local administration

Education & Experience

  • BBA/MBA from a recognized University
  • 2 to 3 Year experience in similar role in an INGO or Local NGO
  • Excellent command over Microsoft Excel
  • Hands on experience of Quick Book Accounting Software
