Background and Context

Subai-Pakistan is a Technical Assistance project being funded by the EU with an overall objective to advance the functioning of Pakistan parliamentary institution, in particular Pakistan provincial assemblies, through effective legislation, strengthened policy and budget oversight and enhanced representation.

Subai – Pakistan has successfully completed its Inception Period and is aiming to achieve key milestones in each of its result area. There will be residential retreats, orientation sessions, public hearings, capacity building initiatives for the four Provincial Assemblies and 2 Legislative Assemblies of Pakistan, recruitment of short term experts, this requires substantial technical, managerial and administrative work in order to achieve our targets in time.

The Provincial level Project Associate will be required to provide administrative and program support services to the Lead Provincial Coordinators in support of the achievement of the Provincial level agreed Work plan, which feeds upwards to the Project Work plan. The Associate is expected to be proactive in discharging their duties and will be supervised and report directly to the Lead Provincial Coordinator.

Role and Responsibilities

To assist the Lead Provincial Coordinator in the implementation of the different SUBAI Pakistan project activitiesProvide support and administrative assistance in terms of the logistical arrangements associated with different SUBAI Pakistan Project activities,

Assist the Provincial Lead Coordinator in ensuring good coordination with all stakeholders especially with the concerned Secretariat officials at the respective Provincial Assembly.

Support the Provincial Lead Coordinator in development of meeting agendas, arrangement of meetings and preparation of meeting minutes.

Preparation of draft activity budgets and other forms as per SUBAI Pakistan requirements to support the efficient management by the Islamabad based Finance & Operations team to arrange events and activities in a timely, systematic, and organized manner.

Ensure that the contacts and information gathered at the Provincial level is fed upwards to the Technical Advisory Team in Islamabad and specifically into the RME.

Ensuring records management as per Palladium/Subai policies.

Other tasks as specified by the Provincial Lead Coordinator.

Qualifications and Education Requirements

Bachelor's degree in sociology, public policy or any other relevant field.

Preferred Skills and personal attributes

Self Starter, a good work ethic, coachable and willing to learn, ability to solve problems, able to manage priorities, flexible and adaptable, good spoken and written English skills.
