Job Summary:
An international child rights and development organization is seeking services of a qualified and experienced Executive Assistant cum Administration Assistant to fill the position in its Country Office in Islamabad.
Primary Functions and Responsibilities:
Administrative functions:
- Attending phone calls and responsible for phone log book.
- Responsible for office decorum, time sheets, payrolls, leave applications, attendance records and filing all the relevant documents
- Preparing inventory of office assets, safeguarding office assets and proper tagging of all old and new assets of the organization; responsible for calculation of annual depreciation of the assets also.
- Assisting in procurement of goods and services and communication with vendors and suppliers on behalf of the management.
- Maintaining the personal files of all the staff members and consultants and regularly updating the files with necessary information and documents.
- Responsible for issuing vehicle requisitions, log books and regular maintenance of the vehicles.
Financial functions:
- Cheque books, cheque requisitions, bank withdrawals and bank payments.
- Responsible for bank relationship
- Preparing and processing the working advance of the team members and collect the working advance reports and bills for the relevant team members.
- Managing petty cash and prepare monthly trail basis
- Preparing and processing payments of vendors, staff and other suppliers
- Preparing monthly salary pay rolls and transfer the salaries of the staff
Executive assistant functions:
- Assist Country Coordinator (CC) in day to day administrative and financial affairs of the organization.
- Assist the CC for all engagements and keep the record of the engagements and ensure that CC’ schedule is followed.
- Composing and preparing correspondence that is sometimes confidential
- Arranging travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
- Communicate with partners and staff on behalf of the CC whenever required.
- Filing and recording all important documents as required by CC in proper filing system and safeguard the important documents as per the given instructions.
- Above all the candidate will perform any other official task as assigned by the Country Coordinator (CC).
Required Essentials:
Confidentiality - Maintain confidentiality of all information, records, communication, assets, partners, staff and plans of the organization
- Non Criminal Record – The candidate must not be involved in any criminal or any anti social activity.
- Child Abuse – The candidate must not be involved in any act against child rights and any form of child abuse.
Preferable Skills/Abilities:
- Minimum qualification should be BA, B COM, BCS, BSC or equivalent.
- 4-5 years of relevant experience
- Well versed in English (written and spoken)
- Excellent knowledge of Ms. Office
- Organized and pleasant personality
- Willing to work extended and non-traditional hours
- Willingness to travel as and when required in city or outstation
