Position Summary:

Grant Officer will work closely with Assigned Agency Development Field Coordinators and Field Staff. This includes assisting with developing project proposals, monitoring grant implementation, closing grants and maintaining all related electronic and paper files.

 

Reporting and Supervision:

The Grant Officer reports to the Grants Manager and will be responsible to cover both Bajaur and Mohmand Agencies.

 

Primary Responsibilities:

  • Input data entry and database submissions into the grants tracking Integrated Data Base Management System (IDMS).
  • Prepare milestone review reports in close coordination with Grantee /Agency Development Field Coordinators (Bajaur, Mohmand Agencies).
  • Represent the program to communities and stakeholders.  Travel to grantee sites and develop ideas for future grants in collaboration with local communities / organizations as and when required.
  • Manage a portfolio of grant activities.  Serve as point of contact for grantees, monitor their progress against timelines, provide technical facilitation and oversight on implementation and ensure adherence to grant agreements and donor regulations.
  • Coordinate with relevant departments to ensure smooth project implementation. 
  • Work closely with Agency Development Field Coordinator/Field Staff to budget, utilizing appropriate grants.
  • Mechanisms (such as in-kind grants, Fixed Obligation Grants (FOG), etc.). Contribute to the planning and conceptualization of monitoring and evaluation and media plans of projects.  Assist to ensure preparation of all related documents for approval by Senior Management Team and the donor.
  • Assist to monitor and ensure grantee compliance with donor and organization policies, procedures and regulations. 
  • Assist with preparing project proposals through system database, incorporating project activities, deliverables, monitoring and evaluation plan, media plan, BOQ and specific timeline.
  • Assist in completion of required documentation, such as grant agreements and grant closing requirements.
  • Provide regular updates and reports regarding grant status. Maintain regular accurate and timely program and activity documentation; draft, maintain and update reports, and meeting notes.
  • Actively contribute to information sharing within program.  Engage in overall political analysis, impact assessment, and strategy development to advance program goals.
  • Coordinate closely with Field Staff, Finance, Procurement, Engineering, Monitoring and Evaluation staff regularly to ensure smooth grantee start-up, implementation, monitoring, and close-out.
  • Assist with the review of grant proposal to ensure they match program objectives, include all relevant information, comply with grant identification process, etc.
  • Contribute to budgeting and procurement estimates for grant implementation and verify information is documented and procedures are followed.
  • Help identify/document success/impact stories for reporting and documentation in the database.
  • Coordinate with staff in all offices in order to complete assigned tasks.
  • File and maintain grant documentation.
  • Perform any other duties as assigned.

 

Required Skills and Qualifications:

  • Minimum 5 years experience with 3 to 5 years of demonstrated experience working with communities, Community Based Organizations (CBOs), or non-governmental organizations (NGOs).
  • Bachelor or Master degree in social sciences or related field from reputable universities 
  • Strong writing skills to highlight program success for weekly narrative reports, quarterly reports and success stories.
  • Competent in computers and MS Office (Word, Excel, Access); experience using databases
  • Understanding of budgets preferred.
  • Strong facilitation, community mobilization, capacity building and project management skills.
  • Demonstrated experience with program development and implementation.
  • Strong understanding of developmental paradigm and conflict-related issues of the target area.
  • Expertise in economic development, conflict mitigation, or gender programming.
  • Demonstrated excellence in writing and speaking English, Urdu and knowledge of Pushto is desirable.
  • Excellent organization, attention to detail and communication skills.
  • Strong understanding of the socio-cultural, economic, political context and history of FATA etc.
  • Ability to work under short deadlines and efficiently prioritize multiple tasks.
  • Ability to travel within and around FATA region specifically to Bajaur and Mohmand Agencies.
  • Must be a team player.
