Under the overall supervision of the Program Manager and in the direct supervision of the Grants Manager, the Grants Writer Coordinator will ensure the smooth functioning of the Grant Writer’s Branch. This includes managing the branch staff, developing a strong understanding of the program’s grant cycle and its various components especially as they relate to grant writing and reporting, grant files oversight, and grant finance oversight.

Specific Duties and Responsibilities:

Grant Writing and Reporting

Supervise the grant writing team in the following tasks:

  • Preparation and writing of all new grant/project proposals;
  • Reviewing grant budgets;
  • Maintenance of grant projectization cost tracking sheet;
  • Tracking of grants under development and ensuring timely grant submissions;
  • Ensuring up-to-date and accurate information pertaining to regional background and overviews for grants;

Submission of grants for clearance and maintaining grants-related correspondence with the donor including liaising with field teams as necessary to provide responses to donor queries;

Review and edit all new grant ideas at the YL stage of the project cycle;

Review of all new press releases;

Preparation of the comprehensive report on a weekly basis as well as the quarterly, and others as necessary;

Orientation and training of all new grant writing staff.

Grant Files Oversight 

Guide the Grants Assistants to ensure all hardcopy records relating to Program grants are properly maintained.

  • Design mechanisms to track the various stages in the grant file review cycle as well as further streamline the review process;
  • Ensure regular coordination with the Procurement and Contracts Unit, Operations Unit,  and the Monitoring & Evaluation Unit to track grant documents and ensure that all mandatory information is collected and saved within each grant file;
  • Ensure regular maintenance of the Grant Document Verification tracker;
  • Periodically undertake a review of selected grant files to ensure all required documents are present in the appropriate files;
  • Overall supervision of Grants Assistants in grant filing related tasks, including daily and weekly output reports.

Grant Finance Oversight

• Develop and maintain centralized financial accounting of all grants and liaise with the Program administrative, logistic and procurement units in order to develop further program objectives and ensure that Program standards are followed.

Specifically:

  • Coordinate with administration and finance to ensure that all administrative and finance information is collected and saved within each grant file.

Other Duties

  • Supervise Grants Assistants in all grant tracking and record-keeping functions;
  • Provide regular follow-up on grant-related updates from Procurement/Contracts and Admin/Finance Units. This includes designing various Excel Spreadsheets and tables to track status;
  • Provide support in the selection, orientation and training of all new grants branch staff

Minimum Requirements

  • Bachelor’s Degree in Social Sciences or equivalent
  • Minimum experience required is 5 years of working with community development project implementation
