Job Purpose:

To manage the reception desk by maintaining high level of client service environment when interacting with internal and external customers.

 

Key responsibilities and accountabilities:

Administrative support

 

  • Manage Telephone exchange and Fax- take messages, divert calls as required
  • Act as first point of contact for all the visitors- receive and greet and direct to the right department/person
  • Manage daily staff attendance register
  • Regularly update staff contact lists, and internal telephone extension list
  • Receive, register and distribute daily mail including monthly utility bills, quotations and daily newspapers etc
  • Coordinate with courier company for outgoing and incoming mail
  • Ensure professional, clean & orderly look for the reception desk.
  • Book conference room and ensure cleanliness for meetings
  • Closely work with Administration department in ensuring timely availability of refreshment, tea and coffee, and other material required for in house meetings, training etc
HR support
  • Schedule interviews, including calling the candidates
  • Prepare panel files as directed by the Senior HR manager
  • Photocopying and scanning of documents

Education, qualification, skills and experience:

Education: (Formal degree)

  • Bachelor degree in any discipline

 

Experience:

  • 2-3 years of Customer Care or Receptionist

 

Skills: (Essential and Desirable)

  • Excellent oral communication skills in English language
  • Excellent telephone manners
  • Flexibility and an ability to deal with customers and clients at all level
  • Ability to organize and prioritize tasks
  • Effective team player with ability to take initiative

 

Technical knowledge/ know how

  • Good command on MS office; Word, Power Point, Excel and Visio
  • Ability to operate telephone exchange, photocopier, scanner and other relevant office equipment
