Duties and Responsibilities:  Under the supervision of Regional Project Coordinator, the Admin Assistant will be responsible for managing the overall administration and financial management of the Project. More specifically, s/he would be responsible for: 

  • Assist with initial and informal stakeholder consultations,
  • Collect and analyze preliminary information and data. Provide advanced word processing support by creating complex spreadsheets, maintaining databases and creating high quality reports, presentations, and other documents;
  • Ensuring the implementation of UNDP Financial and Admin related policies in the Project
  •  Preparing and maintaining quarterly advances and financial reports and keeping track of all funds released by the UNDP.
  • Assist in preparation of work plans and budgets, and
  • Maintaining ledger of financial commitments and advances, ensure settlement of advances in accordance with agreed contracts.
  • Providing support to provincial project team and consultant with logistics and travel arraignments
  • Preparing Cash Payment Vouchers, Bank Payment Vouchers, and Journal Vouchers together with complete supporting documentation in support of every financial transaction
  • Invitations, and drafting minutes of the meetings.
  • Any other task assigned by the project/ component manager.

Education Qualification: 

  • The incumbent should have at least a Bachelor degree preferable in Finance or in related discipline.

 Experience and Competencies:

  • Minimum 3 years of experience in foreign aided projects or international development organizations in financial management of GOP/NGOs or development assistance work.
  • Computer proficiency in MS Office (Word, Excel and PowerPoint) and other common software is a prerequisite.
  • Expertise in project budget formulation will be an added advantage.
  • The candidate should have strong interpersonal skills and excellent command of English language.
