Relevant Experience:

  • Minimum Masters degree from an accredited university essential;
  • Direct experience in the evaluation and administration of finance or small grants essential;
  • Knowledge of MS Office, particularly Word, Excel, and Access essential;
  • Report writing experience essential;
  • Previous work experience with international donors/NGOs essential;
  • Excellent oral and written communication skills and fluency in English and Urdu essential;
  • Strong organizational and detailed orientedness;
  • Demonstrated ability to manage multiple tasks and follow-through to completion;
  • Excellent interpersonal skills and ability to work under pressure.

Job Description:

  • Managing the Database IT Officer and OTI Database Officer, including overseeing all issues and work-flow for these two positions.
  • Liaising closely with senior staff in the Program, Operations (Engineering, Procurement and Finance) sections to ensure smooth coordination for internal processes and operations;
  • Chairs weekly grant closing meetings, sets weekly grant closing targets and provides quality assurance on final grant close out.
  • Submits key donor reports including Weekly Report, and OTI Database weekly upload (with current activity notes and financial disbursements).  Conduct routine quality assurance on OTI DB and OTI Anywhere.
  • Liaise and support Program Director and Operations Manager for internal coordination needs/follow up in particular related to maintenance and management of activity budgets, procurement delivery timelines, and contractor payments.
  • Participate in grant review committee, coordination, and departmental (operations and program) meetings as required.
  • Ensure timely submission of EDFs and ERRs for all grants respectively.
  • Monitor activity timelines (per the internal cash/milestone/delivery tracker) and coordination with senior colleagues, particularly Program Director and Operations Manager to ensure timely amendments/changes are filed when needed and timely completion of grants within approved timelines.
  • Provide policy guidance and/trainings to staff to ensure per compliance and minimum level of quality standards.
  • Other necessary tasks to ensure smooth and successful program coordination and implementation.
