Under the overall supervision of the Programme Manager and the directives received from the Resource Management Officer, the HR Assistant will be directly reporting to the Human Resources Officer for implementation of FSP Human Resource policies and procedures and will perform the following duties.
Specific duties and responsibilities
- Process, verify and maintain documentation relating to personal activities such as staffing , recruitment , grievances, performance evaluations, trainings and classifications
- Assistant in Dealing with Service provider in terms of Employment Contracts of the staff on the Service Provider contracts, and Health Insurance
- Assisting and active involvement in recruitment, Process and review employment applications in order to evaluate qualifications or eligibility of the applicants
- Verification of the background of selected candidate from security department, checking and running their names from the T-database, maintaining record for those cleared from security.
- Active involvement in the employee orientation process, to plan and coordinate with the relevant units.
- Processing the resignations/departure of staff, obtaining their clearance from different departments, and follow up with the service provider for their final dues.
- Respond to human resources queries from staff in the Program regarding eligibility, salaries, benefits and other pertinent information.
- Compile and prepare reports and documents pertaining to personnel activities.
- Preparation of the service Provider payroll and following up with the concerned departments for payroll processing.
- Guiding the Field Admin Assistants in maintaining complete documents for processing Travel Authorization forms.
- Maintain record of selection, transfer, Promotion and resignations, and yellow pages
- Process and maintain staff insurance claim records, Medical Claims and other relevant documents.
- If required travel to the field offices of the Program for resolving any HR issue
- Any other duty assigned by the HR Officer, Resource Management Officer, Program Manager.
Qualification and Experience
Bachelors Degree in Administration or equivalent and at least three years experience in Human resource field; ability to work to deadlines on long hours and under significant professional and environmental pressure; ability to work independently; computer competency with spreadsheets, databases and word processing/internet; strong interpersonal skills, flexibility and patience; willingness to work and travel in an unstable environment; ability to get the job done.
Languages
Thorough knowledge of English; working knowledge of Pashtu, or other languages spoken in the region will be an advantage.
