Description (Duties and Responsibilities): The Administrative Assistant will work under the supervision of the National Project Coordinator (NPC) and will be responsible for providing administrative and secretarial support to the Project team. The terms of reference for the position include the following duties:- • Perform programme related duties to assist the National Project Coordinator & Project team. • Oversee collection, analysis and presentation of background information for preparation of progress reports, work plans, presentations and project implementation reports. • Assist with establishing an effective communication & information sharing network with internal & external partners. • Ensure proper filing and easy tracking of project documents (letters, minute of meeting, reports, contacts etc). • Provide support in organizing quarterly & annual project performance reviews. • Schedule & arrange internal & external meetings and appointments for project team; perform liaison duties and assist with preparing meeting documents & working papers. • Draft different correspondences on the programme & administrative matters and ensure follow up system. • Maintain staff attendance & leave records and prepare relevant reports. • Oversee receipt and distribution of all incoming mail and dispatching of outgoing mail. • Oversee logistics and various event management arrangements for meetings, workshops conferences, field visits and travel. • Any other duties as required by the project.
